A transport job can look complete on a planning board while still creating work for three different people. The lorry has delivered, but the POD is missing. The driver has reported a delay, but the customer has not been updated. The job is ready to invoice, but the delivery note is in a cab or an inbox. For haulage and container transport operators, effective job tracking creates a reliable record from allocation through to payment. It gives planners a live view of execution, gives drivers clear instructions, gives the office the documents it needs, and gives customers a credible answer when they ask for an update.
How to track transport jobs from planning to payment
The most dependable approach is to manage every movement in one structured job record. That record should hold the operational details, current status, driver activity, exceptions, documents and financial information together. If a planner must check a spreadsheet, call log, messaging app and paper delivery note to understand one job, the business does not have true job visibility.
Start tracking at the point a booking is accepted. Capture the customer, collection and delivery locations, reference numbers, agreed rate, load details, required equipment, time windows and any site instructions. For container work, this may also include container number, booking reference, port or depot, empty return location, release details and cut-off times.
The value is not in collecting data for its own sake. It is in making the next operational decision easier. A driver needs the correct address and access instructions. A planner needs to know whether the work is allocated and achievable. Accounts needs a clear basis for invoicing once the job is complete.
Use clear statuses that match real operations
A job status should tell the team what has happened and what needs to happen next. Avoid vague labels such as “active” or “in progress” when they conceal the actual stage of the movement.
A practical status flow might include:
- Unallocated: the work is confirmed but has no vehicle or driver assigned.
- Allocated: a driver and vehicle have been assigned, with the work ready for dispatch.
- En route or at collection: execution has started and collection activity is underway.
- Loaded or in transit: the consignment is moving towards the delivery point.
- Delivered, POD received or complete: delivery has occurred and the required evidence is available.
The exact workflow depends on the operation. A same-day pallet delivery may need fewer milestones than a port collection involving waiting time, customs documentation, a delivery slot and an empty container return. The principle stays the same: each status must reflect an event the team can act on.
Status discipline also improves shift handovers. A planner covering another desk should be able to open the jobs grid and see which jobs need allocation, which are at risk, which have been delivered, and which are waiting for paperwork. That is much more useful than a list of jobs marked “done” without supporting evidence.
Capture execution, not just vehicle location
GPS tracking can be useful, especially for estimated arrival times and identifying unexpected delays. But location data alone does not confirm collection, delivery, damage, refusal, waiting time or the paperwork needed to bill. A vehicle may be at a customer site without having completed the job.
Track the operational events that matter. Record actual arrival and departure times where required, loading and unloading issues, site restrictions, detention or waiting, damaged goods, failed delivery attempts and customer instructions. For container haulage, this is particularly important. A delay at a terminal can affect planned collections, driver hours, customer expectations and charges. Make driver updates quick enough to happen
A tracking process fails when it asks drivers to complete long forms during a busy day. Driver-facing updates should focus on a small number of actions: confirm arrival, record a delay or issue, capture a signature or photo, and mark the relevant task complete.
The office should then see those updates immediately in the central job record. This removes the usual chain of calls and messages between driver, traffic office, customer service and accounts. It also creates a timestamped operational history if a delivery is disputed later.
Treat POD and delivery notes as part of the job
Proof of delivery is often handled as an administrative task after the transport work is complete. That creates a gap between delivery and invoicing, and the gap tends to grow when paper notes are misplaced or submitted in batches.

The record should show whether a signature, name, time, photograph or scanned delivery note has been received, and whether any exceptions were recorded. Manage exceptions before they become service failures
The strongest job-tracking processes focus attention on exceptions, not routine jobs. A planner should not need to inspect every movement to find the two that are late, unallocated, missing documents or likely to miss a delivery slot.
Create a consistent way to flag problems and assign ownership. A late collection may need a driver update and a revised ETA. A refused load may need customer instruction. Missing POD may need follow-up with the driver before the shift ends. The key is to record the reason, action and next owner against the job.
Customer communication should follow the same rule. Do not wait for a customer to chase an overdue delivery when the delay is already known internally. A timely, factual update protects trust and reduces inbound calls. A job is not commercially complete when the vehicle leaves the delivery point. It is complete when the correct charge can be invoiced with the required supporting documents. Build controls around the transition from delivered to ready to invoice.
