For haulage and container transport operators, a poor handover creates more than internal friction. A missed booking reference can delay a collection. An uncommunicated detention risk can become an unrecovered cost. A delivery completed without a captured POD can hold up invoicing. The goal is not to produce more handover notes. It is to create a controlled operating process where the job record is the source of truth.
Why dispatch handovers break down
Most handovers fail because information is spread across too many places. The planner may have the latest schedule in a spreadsheet, the dispatcher may have driver updates in messaging threads, and the office may be waiting for paperwork in an email attachment. Each person can be working hard while the operation remains disconnected.
The second issue is unclear ownership. A job may be marked as planned, but nobody knows whether the outgoing dispatcher has chased the driver, checked site restrictions, or escalated a late container release. When the next shift takes over, they must first work out what has happened before they can decide what to do next.
There is also a tendency to treat all jobs alike. A straightforward delivery that is on time does not need the same handover attention as a collection with a missed slot, a driver nearing their hours limit, or a container awaiting release. A practical handover process brings exceptions to the front rather than burying them in a long list of routine work.

Statuses should reflect the stages that matter in your own operation. Container work may need milestones for empty collection, port arrival, loaded collection, return and interchange. General haulage may focus more on collection, transit, delivery and POD completion.
The right level of detail depends on fleet size and job complexity. A smaller operator may manage with a focused set of stages, while a multi-depot business may need more granular tracking. The test is simple: can the incoming dispatcher identify the next action and the person responsible in a few seconds?
Build a handover process around exceptions
A dispatcher should not have to read every active job at changeover. They need a filtered view of jobs that could affect service, cost or billing. Establish a simple exception definition and make it consistent across the team.
Common exceptions include late-running vehicles, missed or unconfirmed time slots, customer changes, unavailable equipment, waiting time, customs or port holds, incomplete collection documents, and deliveries without a POD. A job can be operationally complete but still require follow-up if the signed delivery note is missing or the agreed accessorial charge has not been recorded.
For each exception, record three things in the job itself: what happened, what has been done, and what must happen next. “Driver delayed” is not useful enough. “Driver delayed 45 minutes at previous site; customer advised; revised ETA 14:30; night dispatch to confirm unloading acceptance at 13:45” gives the next dispatcher a usable instruction.
This is where disciplined notes outperform informal chat. Messaging is useful for quick driver communication, but it should not be the permanent location for decisions that affect delivery performance, customer updates or invoicing.
Set ownership before the shift ends
Every unresolved job needs a named owner. That does not mean the outgoing dispatcher must solve every issue before leaving. It means the receiving dispatcher knows who is accountable for the next action and when it is due.
For high-risk movements, use a direct verbal handover alongside the system record. This is sensible for a critical container deadline, a major customer escalation or a job where the driver is close to a compliance limit. Review exceptions by cause. If handovers regularly include late driver allocation, the issue may be planning capacity rather than dispatch discipline.
